These guidelines keep meeting rooms fair for everyone. You can open the full guidelines from the Fair Usage Guidelines link at the top of the Reservations page.

Who gets free meeting room hours?
Small meeting rooms that seat 4 to 5 people are free for up to 2 hours per client per day, across all sites. Clients on ProWorking and Virtual Office plans aren't eligible.
Use beyond the free 2 hours comes out of your remaining monthly hours, then is charged at the standard rate. See Meeting room credits and free hours.
How should I book?
- Book in advance through HUB. Only HUB bookings are recognized.
- Don't book by personal email or by asking staff directly.
- Include the start and end time and the purpose of the meeting.
See Book a meeting room.
Cancellations and no-shows
Update your booking at least one hour before the meeting starts if you need to cancel or reschedule. A booking that isn't cancelled counts as a no-show and is billed.
See Cancel a reservation and Reschedule a reservation.
Priority and conduct
- Rooms are booked first come, first served.
- Leave the room clean and tidy, and leave on time for the next meeting.
- Your company's point of contact makes sure your team follows these guidelines.
Report any meeting room concerns to the on-site team at your building.
